This Privacy Policy is intended to explain how MEVENT Suite handles personal data and supports responsible privacy practices. A personal photo, selfie, registration record, or other information may be personal data where it identifies or can identify an individual.
2. Purpose of the platform
MEVENT Suite is designed to make event photo delivery easier, faster, and more private. Instead of guests searching through hundreds or thousands of photos, guests can access photos matched to them through a selfie or other approved identification process.
The platform may be used for conferences, exhibitions, corporate events, weddings, private functions, brand activations, public gatherings, and other events where digital photo distribution or engagement services are required.
3. Types of data we may process
- Event photos uploaded by photographers, organisers, clients, or account owners.
- Guest selfies or reference images used for AI photo matching.
- Guest registration information, such as name, email, phone number, company, job title, or custom fields selected by the organiser.
- Event details, banners, sponsor materials, watermarks, videos, and branded content.
- Usage and technical information, such as device type, access logs, gallery interactions, downloads, and support information.
4. Photos uploaded to the platform
Photos may be uploaded by the event photographer, event organiser, account owner, client, or an authorised person handling the event account. Memoir Solutions W.L.L does not claim ownership of photos uploaded to the platform.
Ownership, copyright, usage rights, consent, and permission to upload or distribute photos remain the responsibility of the photographer, organiser, client, or account owner who uploads or manages the photos.
5. Responsibility for photo ownership and consent
The photographer, organiser, client, or account owner is responsible for ensuring that they have the proper rights, permissions, notices, and approvals to upload, store, process, and distribute photos through MEVENT Suite.
Memoir Solutions W.L.L acts as a technology service provider enabling AI-based photo matching, gallery access, registration, and event engagement features. Memoir Solutions W.L.L is not responsible for disputes relating to photo ownership, copyright, guest consent, event photography permissions, or the organiser’s right to upload or distribute photos.
6. Legal basis and fair processing
Personal data is processed for purposes connected to providing the MEVENT Suite service, including event registration, AI photo matching, gallery delivery, account administration, technical support, security, contractual performance, and legal compliance. Where consent is required, the organiser or account owner is responsible for collecting appropriate consent or providing suitable privacy notices to attendees.
Guests should be informed when photography, photo matching, registration, sponsor visibility, or branded gallery experiences are used at an event.
7. AI matching and facial recognition
MEVENT Suite may use facial recognition or AI-based image matching to identify photos that may contain a specific attendee. A guest may be asked to submit a selfie or reference image so the system can compare it with event photos and display matched results.
Selfies and face-related data are used for the purpose of identifying and delivering the guest’s own event photos through the platform. Memoir Solutions W.L.L does not sell face data, guest photos, attendee images, or registration data to third parties.
8. How photos and data are stored
Uploaded photos and related data may be stored securely on cloud-based storage systems to provide fast, reliable, and scalable access during and after an event. Photos and data are stored for service purposes, including upload, processing, matching, viewing, download, sharing where enabled, support, and album management.
9. Security measures
Memoir Solutions W.L.L takes reasonable technical and organisational measures to protect uploaded photos and personal data from unauthorised access, misuse, loss, alteration, or disclosure. Measures may include access controls, restricted permissions, protected storage locations, secure application access, monitoring, and operational safeguards.
No online service or cloud storage system can be guaranteed to be completely secure. Memoir Solutions W.L.L will take reasonable steps to reduce risks and respond appropriately to suspected unauthorised access.
10. Sharing and disclosure
Memoir Solutions W.L.L and the MEVENT team will not sell, publish, or distribute uploaded photos to third parties without authorisation from the organiser, account owner, rightful photo owner, or where legally required.
Photos are made available through the event platform according to access permissions selected or approved by the organiser or account owner. The MEVENT team will not manually share photos with external parties except for support, troubleshooting, legal compliance, or written instruction from the organiser or account owner.
11. Access to photos and data
Access may be available to:
- The event organiser, photographer, client, or authorised account owner.
- Approved MEVENT support team members, only where necessary to operate, maintain, or support the service.
- Event attendees accessing their matched photos or content made available by the organiser.
- Third-party service providers used to host, store, process, or support the platform, subject to appropriate safeguards.
12. Third-party services and international transfers
The platform may uses third-party cloud, hosting, storage (AWS, GCP & Cloudflare), analytics, email, WhatsApp/SMS, payment, or support services to operate MEVENT Suite. These providers may process data only to support the service and are expected to follow applicable contractual, privacy, and security requirements.
Where personal data is transferred or accessed across countries, Memoir Solutions W.L.L aims to apply appropriate safeguards in line with applicable privacy and data protection requirements.
13. Retention and deletion
Photos and related data may be retained for the period required to provide the service to the organiser and attendees. Retention may depend on the agreement between Memoir Solutions W.L.L and the organiser or account owner.
Upon request by the organiser, account owner, or authorised client representative, Memoir Solutions W.L.L may delete event photos and related data from the platform, subject to technical, legal, backup, audit, security, or operational requirements.
Attendees who want deletion or removal of their photos should contact the organiser or account owner, as they are responsible for uploaded event content and permissions. Attendees may also contact Memoir Solutions W.L.L for assistance.
14. Data subject rights
Subject to applicable legal conditions, individuals may have rights to request information about their personal data, access copies of their data, request correction, object to certain processing, request deletion where applicable, and submit complaints to the relevant authority.
Requests can be sent to Memoir Solutions W.L.L using the contact details below. We may need to verify the requester’s identity and coordinate with the relevant organiser or account owner before acting on requests involving event photos or uploaded event content.
15. Limitation of role
Memoir Solutions W.L.L provides MEVENT Suite as a software and technology service. It is not the photographer, copyright owner, or original content creator of uploaded photos unless specifically agreed in writing.
The organiser, photographer, client, or account owner remains responsible for the content they upload and for ensuring that all required consents, notices, permissions, and ownership rights are in place.
